AI Automation1E.1 · Operations & Field Service Automation
Every job assigned, tracked and closed
Job & Work-Order Management Automation by Deepzeta AI turns each accepted quote, call or WhatsApp request into a job and assigns a technician by skill, area and availability. Customers get status updates, and a finished job triggers the invoice and a review request. It is for UAE technical services, facility management, maintenance, AC, cleaning and pest control companies.

Before and after
Where field jobs lose time
Field jobs pass through many hands: the call, the coordinator, the technician, the office that bills it. Each handover depends on someone typing, phoning or remembering. Here is what changes when the job moves on its own.
| Today | With Deepzeta AI |
|---|---|
| Each job is typed up by hand from a phone call, a WhatsApp message or a signed quote. | Jobs are created automatically from accepted quotes, calls and WhatsApp requests. |
| A coordinator rings round to find out which technician is free and nearby. | Each job is assigned to a technician by skill, area and availability. |
| Customers call the office to ask when the technician will arrive. | Customers get status updates, such as “technician on the way”, without calling. |
| Job sheets come back on paper, and photos sit on technicians’ phones. | Photos, checklists and the customer’s signature are captured on mobile, on the job itself. |
| A finished job waits for someone to raise the invoice and ask for a review. | Completing the job triggers the invoice and a review request automatically. |
Example flow
How a job moves from request to invoice
Job & Work-Order Management Automation connects where requests arrive, your technicians’ schedules and your invoicing. Every job follows the same path, from creation to sign-off. Here is one example flow for an AC service company; yours follows your own job types, checklists and areas.
- · A WhatsApp request arrivesA villa owner messages your business on WhatsApp: the AC isn’t cooling and needs a visit.
- · The job is createdA job is created automatically, with the customer’s details, area and the problem they described.
- · A technician is assignedThe job goes to a technician with the right skills, working in that area and free that day.
- · The customer is updatedThe customer gets a WhatsApp update when the technician is on the way.
- · Work captured on mobileThe technician ticks off the checklist, photographs the work and collects the customer’s signature on mobile.
- · Invoice and review requestMarking the job complete triggers the invoice and a review request to the customer.

Decision aid
Is job automation right for you?
Job & Work-Order Management Automation suits any business that sends people out to do jobs at customers’ sites. It is a best-fit automation for technical services and facility management, and part of the Quote-to-Cash System. These questions help you decide.
A good fit for
- Technical services and maintenance companies with technicians on site every day
- Facility management firms handling work orders across several buildings
- AC, cleaning and pest control companies sending teams to homes and offices
- Do jobs start from phone calls and WhatsApp messages?
- Then each request can become a job automatically, with nobody retyping the details.
- Does someone spend the day deciding who goes where?
- Then assignment by skill, area and availability gives each job to a suitable technician.
- Do invoices wait until the paperwork comes back from site?
- Then marking a job complete triggers the invoice, so billing no longer waits for paper.
- Do you run only a few jobs a week, all handled by one person?
- Then a shared calendar may do for now, and the free AI audit will show where automation helps first.

Follow an automation one step at a time
The workflow explorer will let you pick an industry and follow an automation as it runs, from the first message onwards. It is still being built and arrives in a later update of this site.
Built for UAE field teams
- WhatsApp first: customers send requests and receive job updates on the channel they already use, with SMS and email as back-ups.
- Arabic and English: customer updates can go out in either language, set for each customer.
- Your own areas: you define the areas each technician covers, and assignment follows them.
- Consent wording in every customer message, and a customer who replies reaches a person on your team.
- Data rules from day one: who can see job photos, signatures and customer details, and how long they are kept, agreed before launch.

FAQ
Questions about job automation
What field service owners ask first: cost, timing, quotes and invoices, Arabic and data.
How much does job and work-order automation cost?
Job & Work-Order Management Automation is priced after a free AI audit, because the cost depends on how your jobs run today. The main drivers are how many places jobs start from, how many job types and checklists you need, and how assignment should work across your teams and areas. Connecting your accounting system for invoices adds to the build. The audit ends with a written summary, next steps and a quote.
How long does it take to automate our jobs and work orders?
We confirm a timeframe after the free AI audit, once we have seen how jobs reach you and how your technicians report back. Creating jobs from WhatsApp requests, with customer updates, is a smaller build than adding skill-based assignment, mobile checklists, signatures and automatic invoices. You can start with one job type and add the rest once your team is used to it.
Can a job start from an accepted quote and end as an invoice?
Yes: an accepted quote can become a job automatically, and a completed job triggers the invoice. Jobs can also start from phone calls and WhatsApp requests. The invoice can be raised in Zoho Books, QuickBooks, Xero, Odoo or SAP Business One. If you also want quotes built, sent and tracked automatically, the Automated Quotation & Quote Tracking System covers that.
Can customers get their job updates in Arabic?
Yes: job updates such as “technician on the way” can go out in Arabic, English or both, set for each customer. Replies from customers, in either language, go to a person on your team. Your technicians’ checklists can follow the language your team works in.
Who can see the photos and signatures from each job?
You decide: access rules set which staff can see each job’s photos, signatures and customer details. Retention and access rules come with every automation project we build, along with a record of what data each step uses. You also decide how long job records and photos are kept.
What happens when we add technicians, areas or job types?
New technicians, skills and areas are added to the assignment rules, and new jobs follow them from then on. A new job type gets its own checklist in the same way. For bigger changes, such as connecting a new place jobs come from, the AI Ops Retainer covers fixes, updates and new small automations each month.
